Privacy Policy

This policy explains what data the ProTranslate Discord bot ("the Bot") handles and why. We try to collect as little as possible.

1. What the Bot handles

• Message text from servers where an administrator turned on auto-translation (/run). The Bot only reads new messages sent after that, and only while it is running. Links, mentions and custom emojis are removed before translating.
• Text you type in /translate.
• Server settings: your server's ID, whether translation is running, the chosen languages (target, output language, and ignored languages).

The Bot does not read direct messages, does not collect email addresses, passwords, or payment details, and does not keep a log of message content.

2. How the data is used

• Message text is used only to produce a translation and post it in the same channel.
• To help the AI understand slang, the text of the last few messages in the same channel (up to 3, without usernames) may be sent along as context. These are kept only in the Bot's memory and are cleared when the Bot restarts.
• Server settings are used only to make the Bot work the way your server configured it.

3. Third-party services

To translate, message text is sent to AI services:

• Google Gemini API (Google)
• OpenRouter and the AI model providers behind it (used as a backup)

These services process the text under their own terms and privacy policies. Free tiers of AI services may use submitted text to improve their products. Please don't send private or sensitive information through the Bot. The Bot also runs on Discord, which has its own Privacy Policy.

4. Storage and retention

• Message text is not stored by the Bot after the translation is sent.
• Server settings are saved on the Bot's host until the Bot is removed from your server. When it is removed, the settings for that server are deleted.
• The Bot's host may keep technical error logs. They do not include message content.

5. Sharing

We do not sell your data and we do not share it with anyone, except the AI services listed above that are needed to translate your text.

6. Your choices

• Administrators can stop all reading and translating at any time with /stop, or by removing the Bot.
• You can ask to have your server's saved settings deleted by contacting us.
• If you don't want your messages translated, ask your server administrators to not use auto-translation.

7. Children

The Bot is not meant for children under 13, which is also the minimum age for Discord. We do not knowingly collect data from children under 13.

8. Security

We take reasonable steps to protect the Bot and its settings, but no system is 100% secure.

9. Changes

We may update this policy from time to time. The date at the top shows the latest version.
